Staff & Volunteers

how to / create centres / people / staff

In a Project Plan - and for many funding applications - you need to explain the staffing structure of your organisation, as it is now if you are an existing business and how it will be in the future.

These things will be useful:

  • A skills audit - a list of the skills you need

Once you have decided these, consider how to divide you needs up into posts and whether the best way to meet needs is through full time or part time staff, or by using trainees or volunteers. You may also contract with other organisations or freelancers to buy in skills or have them provided by project partners, under a partnership agreement

  • Job descriptions

Outline the main tasks and salary scale for the post.

NOF/DfEE Applications need to show they have considered the whole range from base level support, mentoring and facilitation, to administration and management of the project. Project management and co-ordination are particularly important to plan if you are working with partner organisations. (NOF/DfEE Section 7.7)

If you are using volunteers you will need to outline their roles and how many volunteers will be involved (NOF/DfEE Applicants see Section 7.8)

  • A diagram to show how staff link together and who reports to whom -'sometimes called 'an organogram'
  • A recruitment plan with dates and costs
  • A training plan for staff and volunteers

Once you have staff you will need to monitor their performance and make sure that they have the appropriate skills. Consider how you will meet their training needs, can you train them in house or do they need to attend external courses?

You will need to consider what the costs are to the employing organisation in terms of employers' contributions and staff benefits, and how these will be covered. Show these costs in your cashflow forecast.

For NOF/DfEE Applications you will need a Funding Plan, and staff skills, and their track record in fund raising, will be an important part of this.
